EXECUTIVE TEAM SECRETARY, PART TIME

Reports To: Chief Executive Officer | DEPT: Executive

 

JOB SUMMARY

Reporting to the Executive Director, the Executive Team Secretary is responsible for all administrative and support services that support the executive offices. 

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Handle minutes, scheduling, reports as requested and all logistical details for Board, committee, and staff meetings.
  • Provides administrative assistance as required to Executive Staff.
  • Provide coverage for front desk.
  • Handle logistics for staff and volunteer clearances.
  • Sorts incoming mail and fills in on processing of outgoing mail as needed.
  • Assists with Bulk and regular mailings.
  • Be cross trained and provide support to Administrator of Educational Improvement Tax Credit (EITC) program.
  • Handle condolence letters and non-campaign thank you notes to donors.
  • Assistance with stock donations
  • Act as back up editor for Community Review when its editor is taking PTO.
  • Proof Community Review and other publications and documents.
  • Provide support to PJ Library program (data entry, shopping and preparation of kits and for events, assistance during programming, and other responsibilities as needed)
  • Add details to Community Calendar for all staff as needed.
  • Regular and predictable attendance.

 

OTHER FUNCTIONS AND RESPONSIBILITIES
  • Undertake special projects, as directed by the Chief Executive Officer
  • Perform other duties as assigned

 

QUALIFICATIONS
  • Strong working knowledge of and technical proficiency with Microsoft Office suite products 
  • Strong writing, proofreading and editing skills
  • Data entry, typing, word processing skills required
  • Ability to respond effectively to multiple tasks, priorities and deadlines
  • Problem solving and organizational skills
  • Strong interpersonal skills and the ability to represent the organization in a professional manner
  • Ability to work effectively in team environment

 

REQUIRED
  • Associate degree required 
  • One-three years’ experience of administrative work experience

WELCOME DESK, PART TIME

Reports To: Director of Community Engagement | Central Services Department

 

JOB SUMMARY

The Welcome Desk – Part Time employee is the first staff representative seen or heard by guests. Greeting and assisting members and guests, handling all phone calls to the agency.

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Greet and acknowledge all members and guests.
  • Answer telephone calls and guest inquiries, and direct them as appropriate.
  • Assist new members in filling out applications and paperwork
  • Take photos of members as need for ID cards
  • Write all payment slips for programs, classes, etc.
  • Handle petty cash sheets and deposits.
  • Keep a clean and neat work environment.
  • Replace forms, flyers and membership folders when necessary.
  • Perform tasks requested by other Department Management.

 

OTHER FUNCTIONS AND RESPONSIBILITIES
  • Perform other duties as assigned
  • Regular and predictable attendance

 

QUALIFICATIONS
  • Basic computer skills: Microsoft Office applications, including Word and Excel
  • Must be organized and able to manage and prioritize multiple tasks, meet deadlines and
  • manage time
  • Must be able to work as a part of a team
  • Must be able to manage conflict situations
  • Must be able to take initiative to solve problems and be willing to seek assistance in solving problems
  • Must be able to communicate well in written and verbal communication
  • Must be able to cope with potentially demanding members
  • Must be able to handle emergency and crisis situations

 

REQUIRED
  • High School Diploma or Equivalent
  • Two-Three years office experience    
  • Excellent Customer Service skills
